Exhibiting At APEC 2005

The APEC Exposition (or Exhibition) continues to be a key part of the APEC program. The 148 booths for APEC 2004 sold out - even in an economy just starting on the path to recovery.

WHY EXHIBIT AT APEC 2005?

The key value of APEC to the Exhibitors is the highly qualified audience. APEC Exhibitors praise, year after year, the high quality of the contacts made at APEC. APEC attendees are directly involved in the design, development, manufacture or procurement of power electronics systems, products and components. If you are involved in selling power electronics products or related services, you need to exhibit at APEC.

The approximately 1200 registered attendees at APEC 2004 break down as roughly as follows:

  • 71% from the power electronics industry
  • 24% from various universities around the world
  • 5% other attendees such as government laboratories, the press or market research firms.

Of the more than 800 attendees from the power electronics industry, about 75-80% are either designers or users of power electronics products including power supplies and dc-dc converters. The rest are typically design managers, procurement engineers or managers or component engineers.

Although you won't see thousands and thousands of people at APEC, you will see the people you need to see your products and services.

APEC offers free admission to the Exhibit Hall! So please, invite as many of your current and prospective customers as you like to stop by and see you at APEC.

To make sure that all Exhibit Hall attendees are qualified, APEC does require that they stop by the APEC Registration Desk and pick up a badge.

APEC FOCUSES THE ATTENDEES ON THE EXHIBIT HALL!

Nothing is worse for an Exhibitor at a conference than to be working a booth in an empty Exhibit Hall. APEC does all it can to make sure that when the Exhibit Hall is open, the APEC attendees are there visiting with the Exhibitors.

No Conference Events Conflict When The Exhibit Hall Is Open

APEC does not schedule non-Exhibition related activities while the Exhibit Hall is open. This means that you are not competing with sessions or seminars while the Exhibit Hall is open. This means focus for both the Exhibitor and attendee - maximizing traffic in the Exhibit Hall whenever it is open.

Attracting APEC Attendees To The Exhibit Hall

In addition to not scheduling other conference events when the Exhibit Hall is open, APEC makes the Exhibit Hall the social center of the conference. Events held in the Exhibit Hall include:

  • Welcoming Reception with open bar and hors d'oeuvres for the entire time the Exhibit Hall is open on Monday evening. There is nothing like free food and drink to get an engineer to show up anywhere you want them to!
  • Subsidized lunch served in the Exhibit Hall on Tuesday and Wednesday from 12:00 Noon to 1:30 PM
  • Coffee break on Tuesday afternoon from 3:15 PM to 3:45 PM - in between the afternoon Exhibitor Seminar sessions
  • Coffee break on Wednesday morning from 10:30 AM to 11:00 AM - right after the morning presentation sessions and right before the Wednesday morning Exhibitor Seminars

Maximizing Exclusivity Of Access To APEC Attendees

To support our Exhibitors, APEC has a policy of not allowing access to the APEC attendees by companies not participating in the Exposition. This means that:

  • We prohibit and make every effort to prevent the distribution of commercial literature by those not participating in the Exposition
  • Do not allow the advertisement of hospitality suites or other meetings by companies not in the Exposition

PROMOTING YOUR PARTICIPATION

APEC Web Site

All confirmed Exhibitors who wish will have their names listed on the APEC Web pages. Exhibitors who provide a URL will have their company names made into a hyperlink to their corporate Web pages.

All confirmed Exhibitors at the time of publication will also have their names in the APEC Advance Program, distributed in advance and at the conference.

APEC Exposition Directory

Each year APEC prints an Exposition Directory. This directory includes:

  • A map of the Exhibit Hall with booth numbers
  • A listing of all confirmed Exhibitors at press time (late January 2005), including:
    • Company name
    • Brief description of what is being exhibited (as supplied by the Exhibitor) and
    • Booth number
  • A listing and description of all confirmed Exhibitor Seminars

EXPOSITION HOURS

Over the years, APEC has worked to refine the Exposition hours to give you the maximum effective exposure APEC's attendees while:

  • Minimizing the amount of your time that is wasted
  • Giving you the time to host a Hospitality Suite if you like, and
  • Giving you the chance to get out and see some customers local to APEC

The expected hours for the APEC 2005 Exposition are listed below. These may change so please check with the Exposition Manager for the latest information.

Load In

Sunday, March 6, 8:00 AM to 6:00 PM
Monday, March 7, 8:00 AM to 3:00 PM

All booths must be assembled, all packing materials and trash removed from the Exhibit Hall by 3:00 PM. Booths must be manned and ready to go at 4:30 PM. The Exhibit Hall will be opened as soon as the Plenary Session concludes, which could be any time from 4:30 PM to 5:30 PM.

Exhibit Hall Open To Attendees

Monday, March 7, From the end of the Plenary Session to 8:00 PM
Tuesday, March 8, 12:00 Noon to 5:00 PM
Wednesday, March 9, 10:30 AM to 2:00 PM

Tear Down And Load Out

Wednesday, March 9, 2:00 PM to 6:00 PM

Exhibitors must keep their booth intact and manned until 2:00 PM. No tear down and packing may start before then. Once the Exhibit Hall closes at 2:00 PM, Exhibitors have until 6:00 PM to tear down the booths and pack all of their materials for shipment.

Dedicated Time For Hospitality Suites

Conferences are busy times with activities planned from early in the morning to late into the evening. APEC knows that you want time to socialize with your customers - current and prospective - and has set aside a dedicated time for hospitality suites on Tuesday evening from 6:30 PM until as late as you choose.

Also available is time to host breakfasts, although we ask that all breakfast meetings be concluded by 8:30 AM when the conference activities get underway.

EXHIBITOR SEMINARS

What Are Exhibitor Seminars?

APEC offers twelve 45 minute time slots on a first come, first served basis to Exhibitors who would like to make an extended presentation. The Exhibitor Seminars are popular and give you a chance to showcase your products and services with a more commercial presentation than a referred paper or Professional Education Seminar would allow.

APEC recommends the following format for an Exhibitor Seminar:

  • Describe a problem commonly encountered by people in the industry
  • Describe ways this problem has been addresses in the past or by others
  • Describe how your product or service provides a better way of addressing the problem that other available approaches

Exhibitor Seminar Times

The twelve Exhibitor Seminars are held four at a time in three sessions. The currently scheduled times for seminars are listed below. Please be sure to contact the Exposition Manager for the latest information.

  • Session 1, Exhibitor Seminars 1-4: Tuesday, 8 March, 2:30 PM - 3:15 PM
  • Session 2, Exhibitor Seminars 5-8: Tuesday, 8 March, 3:45 PM - 4:30 PM
  • Session 3, Exhibitor Seminars 9-12: Wednesday, 9 March, 11:00 AM - 11:45 AM

BOOTH AND DECORATION DETAILS

Booth Size

Booths in the APEC 2005 Exposition are 8 feet deep and 10 feet wide.

Included With Each Booth

  • Standard back wall drape and draped sidewalls 36 inches high
  • Carpeted ballroom
  • 24 hour security
  • Complimentary refreshments at the Monday evening reception
  • 50 flyers sent to each company for alerting their customers of their participation in the APEC 2005 Exposition
  • An opportunity to sign up for a booth at APEC 2006 at APEC 2005 rates

Not Included With Each Booth

  • Lunch tickets for either Tuesday or Wednesday
  • Admission to the Wednesday evening social function. Tickets can be purchased from the Registration Desk as long as they are available.

Decorating Company

APEC 2005 has contracted with Freeman for Exhibit Hall decorating.

EXHIBITOR BONUS!

Each company that has a booth in the APEC 2005 Exposition receives:

  • One pass to the Professional Education Seminars
  • One pass to the Presentation and Dialogue Sessions
  • One copy of the Professional Education Seminar workbook
  • One copy of the APEC Conference Proceedings on CD-ROM

The passes to the Professional Education Seminars and the Presentation/Dialogue Sessions will be issued in the company name. These passes allow the company to send one employee at a time to the Professional Education Seminars or Presentation/Dialogue Sessions for no additional charge. These passes can be shared so that different people can attend different sessions. For example, one person could see a session on VRMs in the morning while someone different saw a session on magnetics in the afternoon.

Additional registrations can be purchased as needed at the published rates.

EXHIBIT HALL DIAGRAM

The APEC 2005 Exposition will be held in the Grand Ballroom of the Austin Hilton Hotel. There are about 146 booth spaces available in the APEC 2005 Exposition. Booths are available on a first come, first serve basis.

The booths are 8 feet deep and 10 feet wide, although there are some peninsula booths that are 10' deep and 16' wide. The minimum aisle width is 10 feet.

The Exhibit Hall layout will be provided shortly.

COST TO EXHIBIT

APEC's booth fees are among the lowest in the business.

  • Corner booths: US$3000
  • In-line booths: US$2850

Exhibitors at APEC 2005 will have a chance to sign up for booths at APEC 2006 (in New Orleans!) at APEC 2005 prices. APEC uses a priority system where those exhibitors with the most continuous booth-years have the highest priority for choosing their booths for APEC 2006.
